Workspaces and brands, not one shared bucket

Two levels, and the difference decides how you should set an agency up. Getting this right on day one is cheaper than restructuring later.

Workspace

The tenant boundary. It owns its own members, billing and data. Everything you create lives inside exactly one workspace. Give a client their own workspace when they need their own people in it.

Brand

The tracked subject inside a workspace — its domain, aliases, excluded terms, competitors and market. A client with three product brands is three brands, not three workspaces.

Pick a report type and a window, then run it. What we will not do is imply a cadence that does not exist.

Five report types

Executive summary, citations, competitors, prompts and runs — each over a 7, 30 or 90 day window.

Run on demand

Open a report as HTML or export it as CSV. Monthly export allowances scale with your plan, from four on Essentials to sixty on Growth.

A gap sprint per client

A deeper report covering where a client loses high-value prompts, why rivals win them, their content gaps and a prioritised backlog.

One thing to be clear about

You can save a report with a weekly or monthly frequency and a recipient list, but automatic delivery to those recipients is not live yet. Today the cadence is the one you intend to run, not an automation that sends for you. We would rather say that here than let you find out on a client call.

How do we structure an agency account across clients?

TrackGeo has two levels. A workspace is the tenant boundary — its own members, billing and data. A brand is a tracked subject inside a workspace, with its own domain, aliases, competitors and market. You can give each client their own workspace, or run several client brands inside one workspace, and switch between them from the header selector.

How many client workspaces does each plan include?

One on Free and Essentials, two on Professional, five on Growth, and no limit on Enterprise. Brands are counted separately: Professional allows three, and Growth and Enterprise allow unlimited brands, so a client with several brands does not have to consume extra workspaces.

Which plans include white-label reports?

Growth and Enterprise. White-label is derived from your plan tier rather than a switch toggled per account, so it unlocks the moment you are on Growth or above. It lets you set a custom logo, accent colour and report title, and it removes the TrackGeo mark from client-facing reports. On Free, Essentials and Professional, reports carry TrackGeo branding.

Do reports get delivered to clients automatically?

Not yet. You can define a report with a type, a window and a recipient list, and run it on demand — reports open as HTML and export as CSV. Automatic delivery on a schedule is not live, so treat the frequency setting as the cadence you intend to run rather than an automation that sends for you.

Can each client have their own logins?

Yes. Members are invited to a workspace by email, and each member is either an admin or a user. Data, brands, prompts and reports all belong to the workspace they were created in, and removing a member revokes their session immediately.

Can we see which clients are losing ground without opening each one?

Yes. The agency views roll every linked client into one table — visibility index and movement per client, and a pipeline view showing high-value prompts, how many are losing to rivals, the top threat and open actions for each. You open an individual workspace when something needs attention, not to find out whether it does.
